What Setflow is
Setflow is a platform connecting individuals and companies in the creative industry, film, music, design, photography, events, and related fields. These terms describe every module of the platform and the rules that apply to its use.
Registration, account, and organization
By signing up you create a user account tied to your email address and password (stored exclusively in hashed form). Every account belongs to one organization (a company or sole proprietorship), the organization carries the subscription plan, monthly limits, and team data.
You're responsible for the accuracy of the data you enter, the security of your account credentials, and the content you post in your profile, listings, messages, and offers.
Profile
Your profile is your business card on the platform. There are two types: provider/freelancer (offers services, has a title, description, skills, portfolio examples) and client (looks for services).
You can make your profile public (visible in Search) or private (visible only to you) at any time, the change is instant. A public profile appears in search results by city, skills, and category.
Search (Directory)
Search is a public database of all profiles marked as public. Other users can find your public profile via filters by city, skills, or category, and contact you through Messages.
Marketplace board
On the marketplace board you can post what you're looking for ("Looking for"), e.g. a specific person, crew, or equipment for a project, or what you're offering ("Offering"), including listings in the Events category. Every listing must comply with the conduct rules in the "Platform conduct" section and can be reported if it doesn't.
My equipment
My Equipment is your personal record of technical gear, cameras, lighting, sound, accessories, and more, organized by category. For each item you can generate a QR code for easier physical tracking and scanning when checking equipment in or out.
Items from My Equipment can be linked to the offer calculator, so when you build an offer you pick directly from your inventory, with a completeness check for kits (e.g. whether all parts of a kit are in stock).
Rental module
For organizations that have access to the rental module (depending on organization type and plan), equipment from My Equipment can be rented out to third parties with special packages and prices (e.g. fixed-price equipment packages with compatibility checks for additional equipment). Rental jobs, like standard offers, are activated and tracked through the offers and coupons system.
Offers and calculator
The offer calculator is used to put together a detailed or simplified offer with service/equipment line items, with optional discounts (including discounts by number of engagement days), markup, deposit, and estimate. The finished offer is sent to a client you've already contacted through Messages.
The client can accept or decline the offer. Setflow facilitates communication and formalizing the offer, but is not a party to the agreement users make with each other and does not guarantee the job will be carried out, financial and legal arrangements (payment, deadlines, on-set obligations) are the sole responsibility of the parties making them.
Projects and production workspace
When the client accepts the offer, it moves to "accepted" status and becomes a project, from that point on, the platform treats the job as active, not just an exchange of offers.
An accepted project (on the Max or Team plan) unlocks the production workspace: Crew (assigning team members to roles), Stripboard (organizing scenes/shoots), Call Sheet (daily schedule for the crew), Pre-production (documents and prep), and Floor Plan (spatial layout/set plan).
Clients and collaborators
In the Collaborators section you keep records of clients (CRM contacts you do business with, you can send each one a new offer directly) and collaborators/crew (other platform users you've previously worked with on a project, you can access their profile or send them a message). If a client's email matches an existing registered account, that client also gets quick access to their profile and messages.
Messages
Messages enable direct communication with other platform users. You can delete a conversation at any time, deletion only removes the conversation from your view, not from the other party's view.
Any conversation can be reported if it contains inappropriate communication, the report includes a text transcript of recent messages for our team's review.
Subscription, plans, and coupons
The platform currently offers four tiers: Free, Pro, Max, and Team, which differ in the monthly limit on jobs/offers, the number of equipment items and casting roster entries that can be recorded, access to production tools (the workspace is available from the Pro plan and up, with wider limits on Max/Team), and the number of team seats (Team).
Paid plans are currently activated exclusively via a coupon code entered in Settings → Subscription, online card payment isn't available yet, but it's coming later. A coupon activates the plan for the period defined by the coupon itself; once it expires, the account reverts to the Free plan unless a new coupon is activated.
Once online payment is available, the Pro/Max/Team plan can be paid in two ways: (1) a monthly subscription, with automatic monthly renewal, cancellable at any time, without penalty, valid until the end of the already-paid month; or (2) an annual plan, at a better rate than the monthly subscription, with a 12-month commitment, the annual amount can be paid upfront in full OR spread across 12 monthly installments, your choice. Regardless of the installment method, the commitment runs the full contracted period (12 months); early termination before that commitment ends is subject to a fee of around 25% of the remaining contracted value. The exact amount and charging mechanism for the fee will be clearly shown BEFORE confirming the annual plan purchase, not afterward.
For projects where the client chooses to pay through Setflow (protected payment, funds are held until delivery is confirmed), the platform charges a 10% fee on the job amount. This option isn't active yet (waiting on integration with a real payment provider), until it is, the only payment method is a direct arrangement between the parties, with no platform involvement or fee.
Suggestions, issue reports, and Help
The Feedback & Reports page is for submitting feature suggestions and reporting technical issues (bugs), it's separate from reporting a user/listing/conversation for a rule violation, which is done directly from the profile, listing, or conversation. The Help page contains guides and answers to the most common questions about using the platform.
Platform conduct
To keep Setflow a safe space for everyone, the following is prohibited: impersonation (using someone else's identity, portfolio, or company), harassment, threats, or inappropriate communication toward other users, posting inappropriate, offensive, or misleading content in a profile or listing, and misusing the marketplace board to advertise unrelated products/services.
Any profile, listing, or conversation can be reported using the "Report" button, the report goes to our team (moderators and administrator) for review. An account isn't automatically deleted based on a single report: deletion is only considered once multiple reports have been independently reviewed and confirmed as valid, which prevents abuse of the reporting system in bad faith. Moderators can only request a profile's deletion, the final decision (approval or denial) is always made by an administrator.
Blocking other users
Any user can block another user from a profile or a conversation. After blocking, messaging stops in both directions, the block is visible and takes effect only for you (the other party doesn't get a notification), and you can lift it at any time from Settings → Blocked.
Changes to the terms
These terms may change as the platform grows and new features are added. We'll announce significant changes within the app before they take effect. Continuing to use the platform after a change is considered acceptance of the new terms.
